Holding stock across stores
You’ll need: Inventory items, Stock transfer orders, Inventory reports — if you cannot see these, the module may be switched off for your business or outside your permissions. An administrator can change either.
Between buying and selling, crop sits somewhere — and usually in more than one place.
Stock belongs to a place
Two hundred tonnes is not a figure. Two hundred tonnes at the Bafoussam store, forty at the Douala warehouse and twelve on a truck is a figure.
Every quantity in FeePrime belongs to a location, which is why the location field on every document is the one worth slowing down for. Wrong location and you have made two places wrong at once.
Four numbers, and the one to act on
On-hand is what is physically there. Reserved is what is already promised to a buyer. Incoming is what a supplier owes you. In transit is what is on the road between two of your own stores.
Available — on-hand minus reserved — is what you can actually sell. Promising against on-hand is how a business sells the same consignment twice.
Moving between stores properly
For anything on a road, use a stock transfer order: dispatch takes it out of the source, receive brings it into the destination, and it sits in transit between.
Record receipt when it arrives, and record what arrived. If forty tonnes left and thirty-eight arrived, receive thirty-eight — the missing two are then a visible discrepancy with a place and a date rather than a mystery in a future count.

Watching expiry
For lot-tracked crop, the weekly discipline is a lot report filtered to expiry before a date a month out. That list is what must be sold, moved or discounted while it still has value.
After expiry the only decision left is how to write it off. A month’s notice is the difference between a discount and a loss.
Counting
Crop shrinks, spills, absorbs moisture and occasionally walks. A stock take reconciles the system to the store, and the rule is that reality wins — the count corrects the system, never the reverse.
Count when the store is still. And keep known losses separate: if you know why it went, record a wastage with the reason. A business that books every loss as a discrepancy has no record of what it loses or how.
