Settings you'll actually touch

Before you start, open these. They are all under Settings in the menu: Taxes, Currencies, Languages and API Keys.

Can’t find one? It may be turned off for your business, or your account may not be allowed to open it. Ask the person who set up your FeePrime. They can fix both.

The settings area is big, and most of it is not your problem.

This lesson covers the few you will actually meet. And, just as usefully, the ones to leave alone.

The ones you will meet

Taxes. The tax rates your business uses. Documents point at them rather than copying the number, so editing a rate changes what future documents work out. Never edit a rate to fix one invoice. Add the correct rate and use that.

Currencies. Which currencies your business uses. Every amount belongs to one of them, so this list has to be right before anybody starts entering money.

Languages. Which languages you publish in. Switching one on means translatable fields now expect a value for it. So switch on the ones you genuinely serve, and no more.

Business locations. This has its own lesson, and it is the one worth the most care.

API keys. These let other software read and write your data. Treat one like a password. It carries real permissions, so give it out deliberately and cancel it when it is no longer needed.

The pattern behind all of them

Settings are pointed at, not copied.

A tax rate, a currency, a location. Documents point at them. They do not take a copy.

That is why changing one is never just a local edit. And it is why the safe move is nearly always to add a new entry and leave the old one alone.

invoice ----points at----> tax rate 19.25%
invoice ----points at----> tax rate 19.25%
invoice ----points at----> tax rate 19.25%
                                    ^
edit this and you have edited
what all three of them mean

The ones to leave alone

A few settings look like admin and are nothing of the kind, because what they do shows up somewhere other than the screen you changed.

  • Payment gateway accounts decide where your customers’ money actually lands.
  • SMS endpoints decide what goes out of your business in your name.
  • API keys give another piece of software the rights of a member of staff.
  • PDF templates and website templates change every future document and every public page at once.

None of them are dangerous to look at, and it is worth knowing they exist.

But a mistake in any of them turns up later, and somewhere else. In a payment. In a message a customer gets. In next month’s invoices. That is exactly what makes them hard to trace back.

So leave them to whoever owns them. Ask, rather than experiment.

You have finished

That is the whole of FeePrime Essentials.

You now know the shape of the system: business, module, record. And the ideas that come up everywhere in it.

  • Every change is recorded, and may need approving.
  • Nothing gets deleted.
  • You can always find out what happened.
  • Stock, cash and permissions all belong to something specific. They do not float around the business in general.

Everything else is just one module’s particular fields.

Take the course for the part of the business you work in, and keep staging.feeprime.com open while you learn it.
