Audit trails: who changed what, and when

You’ll need: nothing switched on — this lesson is orientation and applies to every FeePrime business.

Because every edit is a recorded change, FeePrime can always tell you the story of a record. Most people never look until something has gone wrong, and then it is the most valuable screen in the system.

Two views of the same history

There is a per-record trail, on the Audit Trail tab of a record you have open, showing everything that ever happened to that one record.

There is also a module-wide trail, on the Audit Trail tab of the list page, showing every change made anywhere in that module.

They render identically, so a change reads the same either way. Use the record view when you know which record is wrong. Use the module view when you only know that something is wrong.

What an entry tells you

Each entry names who made the change and when, whether it was approved, pending or rejected, and who approved it. Then it lists each field that moved, with the old value on the left and the new on the right. Empty values are shown as (empty) rather than left blank, so you can tell “this was cleared” from “nothing happened here”.

Occasionally an entry says there are no visible field changes. That is deliberate: the change is reported rather than hidden, because a page that silently dropped entries would disagree with its own count.

The search box is cleverer than it looks

Search in the module-wide trail matches changed values or the record’s own searchable details. So typing a customer’s name finds every change made to that customer’s invoices — you do not have to know an invoice number to investigate a customer.

That is usually the fastest route into an investigation: start from the person or thing you know, not from the document you are trying to find.

Archiving is recorded too

Taking a record out of use shows up in the trail like any other change, which is how “who archived this, and when” is answerable at all. Worth remembering the next time something has vanished from a list.

Audit sequence

Detail views may show an Audit sequence — a gap-free number assigned per module in the order records were created. Auditors care about it because gaps suggest deletion. You will never need to type it, only to quote it.

Try it

On staging.feeprime.com, edit the same contact three times, changing a different field each time, then open its Audit Trail tab and read the three entries back. Seeing your own edits described in that format is the fastest way to learn to read somebody else’s.
