The transaction types

Before you start, open this page: Stock / Inventory Transactions.

Can’t find one? It may be turned off for your business, or your account may not be allowed to open it. Ask the person who set up your FeePrime. They can fix both.

Every stock movement has a type, and the type says why the stock moved.

Picking the right one is most of doing this well, because the type is what your reports and your accounts read afterwards.

The ones you create

  • Delivery from supplier. Goods arriving from outside. Stock in.
  • Production run. Inputs used up, outputs produced, in one recorded action.
  • Stock take. A physical count, to line the system up with what is really there.
  • Wastage. Stock destroyed, spoiled, broken, or gone with nothing to show for it.
  • Opening balance. What you were holding on the day you started using FeePrime. Used once per item, at the start.
  • Customer return. Goods coming back from a customer.
  • Internal transfer. A quick manual move between your own places.

The ones made for you

Shipment is goods going out to a customer. It is created for you when a shipment is approved or packed.

You will see these. You cannot create one by hand, and that is deliberate. The document that knows the goods left is the shipment, so the shipment is what says so.

Transfer dispatch and transfer receive are the two halves of a proper stock transfer. They come from the transfer order’s own dispatched and received stages.

Dispatch takes the stock out of where it was and puts it in transit. Receive brings it out of transit and into where it was going.

You may also see delivery to customer on older records. It is the old version of shipment, kept so those old rows still display properly. Do not go looking for it in the form.

Internal transfer versus a transfer order

Both move stock between your own places. They are not the same thing.

internal transfer one movement, there instantly
fine for carrying a box between two rooms

transfer order dispatch, then receive, with in-transit between
correct for anything that spends time on a road

If the goods really are in one place and then the other with no gap worth mentioning, the quick move is honest.

If there is a lorry and a journey, use the transfer order. Otherwise your numbers claim stock has arrived somewhere it has not, and a load lost on the way simply disappears.

Wastage deserves a real reason

Wastage is the type people rush. It is also the one that pays for itself.

Wastage with reasons is a pattern you can act on. One supplier’s packaging failing in transit. One product spoiling every rainy season. One place losing far more than the others.

“Wastage 12 units” tells you a number.

“Wastage 12 units. Cartons crushed, third delivery this month from the same supplier.” tells you what to do on Monday.

Try it

On staging.feeprime.com, record a delivery from a supplier. Then a wastage with a real reason. Then a stock take.

Now look at the item’s list of movements and read the story it tells.
